Ask three agencies what AI automation costs and you will get three answers, none of them useful. One quotes a five figure build. One says it is basically free because the tools have free tiers. One refuses to answer until you book a discovery call. None of that helps you decide whether this is worth doing.

Here is the honest version, with the numbers I actually see when I build automation for clinics and DTC brands in Dubai. There are three separate costs, and most businesses only budget for one of them.

The three costs nobody separates properly

Every automation project has a build cost, a running cost and a maintenance cost. Vendors quote the first, hide the second and pretend the third does not exist.

1. The build

This is the one time cost of mapping the process, connecting the systems and testing the flow. For a single focused automation, think lead routing with instant WhatsApp follow up, a realistic range in Dubai is AED 4,000 to AED 12,000 depending on how many systems have to talk to each other. A full CRM build with several connected workflows sits closer to AED 15,000 to AED 40,000.

The variable that moves this number most is not complexity. It is how clean your existing data and processes are. Automating a business that already has a defined sales process is fast. Automating one where three people each track leads in their own spreadsheet means you are paying to fix the process first, and that is the real work.

2. The running cost

This is where the surprises live. Most automation stacks run on a combination of an orchestration tool, an AI model API and whatever platform fees your CRM charges.

  • Orchestration tools like Make or n8n: roughly AED 75 to AED 400 per month depending on volume. Self hosted n8n can be near zero if you have somewhere to run it.
  • AI model usage: this is usage based, and for a business handling a few hundred enquiries a month it is genuinely small, often under AED 200. Businesses that run AI across every customer message rather than just the ones that need it can spend ten times that for no extra benefit.
  • WhatsApp Business API messaging: charged per conversation, and in the UAE this is usually the largest running cost for clinics because WhatsApp is where the conversion happens.

A realistic all in running cost for a small to medium Dubai business is AED 300 to AED 1,500 per month. If someone quotes you AED 10,000 a month in tooling, ask exactly which line items make that up.

3. Maintenance

Platforms change. WhatsApp updates its API. Your CRM releases a new version and quietly breaks a field mapping. Automations that nobody maintains do not fail loudly, they fail silently, and you find out three weeks later when someone notices the follow up messages stopped sending.

Budget either a retainer or a few hours a month internally. This is the line item most businesses skip and then regret.

What you should expect back

Cost only means something against return. The three returns worth measuring:

Speed to lead. This is the big one. When a clinic enquiry sits for four hours before a human replies, the prospect has already messaged two competitors. Automating first response takes that to under a minute. In lead heavy verticals this alone typically lifts contact rates enough to pay for the entire build inside a quarter.

Hours returned. Count the hours your team spends copying data between systems, chasing follow ups and assembling reports. At a Dubai admin salary, ten hours a week returned is worth roughly AED 3,000 a month. Most first automation projects return more than that.

Errors avoided. Harder to price, easy to feel. Leads that never got followed up, appointments double booked, reports built on stale numbers.

Where the money gets wasted

Three patterns I see repeatedly in the UAE market:

Automating a broken process. If your sales process does not work manually, automating it just produces failure faster and at scale. Fix the process, then automate it.

Buying the platform before defining the job. Businesses buy an expensive all in one AI platform, then spend months trying to find work for it. Start with one painful, high volume, low risk task. Prove it. Expand.

Paying for AI where rules would do. A lot of what gets sold as AI automation is simple conditional logic wearing a costume. Routing a lead based on budget does not need a language model, it needs an if statement. Save the AI for the parts that genuinely require judgement, like reading an unstructured enquiry and summarising intent.

A sensible first budget

If you are starting from nothing, a realistic first project looks like this: AED 6,000 to AED 10,000 to build one automation that matters, AED 400 to AED 800 a month to run it, and a review after ninety days measuring speed to lead and hours returned. If those two numbers have not moved, do not expand. Fix or stop.

That is a small enough commitment that a wrong answer costs you a month of ad spend rather than a quarter of profit, and a big enough one to produce a real result rather than a demo.
